Using AI for Everyday Operations: Graphics, Branding, Booking & Routing

Presenters and agents alike are expected to promote events, manage bookings, and coordinate logistics, often with limited staff time and increasing demands for consistency and responsiveness. This session explores how AI can support both the front-facing work of promotion and the behind-the-scenes operations that keep programs moving.

Participants will learn how AI tools can streamline everyday promotional tasks, such as creating simple graphics, drafting social media content, repurposing messaging across platforms, and building realistic content calendars.

The session will also demonstrate how AI can support routing, booking, and outreach workflows through the use of automation and AI agents, helping organizations make faster decisions and reduce administrative burden.

Through live demos and real-world examples, our experts will show how AI can connect marketing, scheduling, and booking into more cohesive systems. The focus is on practical, scalable workflows for small teams, emphasizing that AI should enhance human judgment, maintain brand integrity, and support more strategic use of staff time.

Participants will leave with a clearer understanding of how to use AI not just to create content, but to improve coordination, increase efficiency, and build more sustainable operational practices.

Filling every seat isn’t luck. It’s strategy.

This Monday, we were grateful to host Morgana Nieves, MBA for the first session in our 2026 professional development series. She explored practical promotion strategies that move beyond “post and pray” marketing. The strongest campaigns are intentional, relationship-driven, and rooted in audience insight, not just aesthetics.

Key reminders:
✨ Start with your existing audience (building personas)
✨ Build momentum early (urgency beats last-minute scrambling).
✨ Equip your partners and board with ready-to-share language.
✨ Track what converts, not just what gets likes.

When promotion aligns with mission and messaging, attendance follows.

If your events aren’t filling, it’s not a capacity issue; it’s a clarity and distribution issue. And both are solvable.

✨ Rockland Road at ArtsConversation ’25! ✨

We are thrilled to welcome Rockland Road to ArtsConversation 2025, bringing their rich familial harmonies and genre-spanning roots straight from the heart of Nashville.

A family band of six Martins, four generations of songwriters and singers, they have turned their home into a "live jukebox," seamlessly blending country, gospel, pop, R&B, and Americana. Their performances exude warmth, joyous energy, and storytelling power—you'll feel it in every note.

Led by Grammy-winning Paul Martin of country-pop legends Exile and his wife Jamie (daughter of Oak Ridge Boys' Duane Allen), the Martins grew up immersed in musical legacies and family traditions. From the Grand Ole Opry and the White House to national sporting events, their voices have carried stories far and wide.

At ArtsConversation '25, they'll offer more than just a performance—they'll bring conversation in song: How do these beloved genres continue to evolve? What role does family play in sustaining musical legacies? And how can creatives weave authenticity into every moment on stage?

Don't miss their performance—join us September 28–30 at Belmont's Fisher Center in Nashville, TN, and let Rockland Road remind us that music truly is family, melody, and home.

Friends, I had the great pleasure to see Jazz Legacy Project in action last night. And it was a double win because I also got to see our Presenter member Ashley (The Whiskey Room at KINGS) as she is the one who booked JLP as a result of ArtsConversation23. YAY!
The show was great! Justin offers great insights between songs. And to say the band is fantastic... well, understatement. They made Coltrane accessible. As a jazz nerd myself, I know that is a challenging feat.
And let me not forget the fabulous opening group Justin brought along (and played drums for), The Teafolk Trio. Not only were these 16 & 17 yr olds great players, they are part of the summer camp Justin works with. Collison of art, education, and mentorship. My favorite intersection.
If you need a jazz show, call Justin!
