Update on booth placements!
This is probably the most tedious part of planning the entire festival, but the end is finally in sight!
At this point, I have 29 applications left to review and enter into our documents out of approximately 235 total applications.
I thought it might be helpful to explain how our booth placement process works:
1. Vendors submit an application.
2. We review each application to make sure it is complete.
3. We match each application with the appropriate fees.
4. Returning vendors are placed in their previous booth locations, provided no changes have been requested.
5. New vendors who do not require electricity or water can usually be accepted fairly quickly because we have more flexibility with those spaces. These vendors are added to our “needs a space” list.
6. New vendors requiring electricity are placed on a separate list. We currently have only three 220-volt receptacles and approximately 40–50 standard 110-volt outlets available.
We do not allow generators because of the noise. We are guests in the town for an entire weekend, and we want to be respectful of the residents. If I lived there, I wouldn’t want to listen to generators running all weekend either.
Yes, I know some generators are very quiet. Unfortunately, we’ve also had many vendors assure us theirs would be quiet, only to find that wasn’t the case. Since we have no practical way to enforce or measure that, we made the decision not to allow generators. We know this means some vendors aren’t able to participate, and we truly hate that. We will be exploring whether it’s possible to add more electrical receptacles in the future, although we don’t yet know the logistics or feasibility of doing so.
7. Once all returning vendors have been placed, we begin assigning spaces to new vendors. This involves reviewing multiple lists at the same time, considering submission dates, when fees were received, available locations, electrical needs, keeping similar vendors separated when possible, and accommodating special requests.
8. Once booth assignments have been finalized, every vendor receives an email letting them know their status—accepted, waitlisted, or unable to be accommodated.
There is a lot more that goes into booth placement than most people realize, but we’re making great progress and appreciate everyone’s patience as we work through the final applications! Please be watching your email if you have not been accepted yet.
